    PFM Solutions LLC (PFM-S) is an operating affiliate of PFM. PFM-S primarily markets, implements, and services our proprietary software – Whitebirch, a financial modeling platform that provides a flexible Cloud-based architecture designed to easily construct, manage, and validate complex financial projections, with an intuitive interface that allows users to consider, analyze, and present myriad possibilities.

     

    POSITION DESCRIPTION 

    We are currently seeking an Administrative Assistant (internally titled “Associate”) to manage all administrative matters related to a start-up business enterprise within PFM.  The enterprise focuses on marketing and servicing the Whitebirch Multi-Year Planning platform (WB), as well as servicing a legacy product with the trade name Future Perfect TM (FP).

    Responsibilities

     

    The position involves managing all the administration of the business enterprise. This includes:

    • Serving as Administrative Assistant to PFM Managing Director;
    • Maintaining the WB Core database;
    • Managing the scheduling and logistics related to the WB marketing efforts, including those for webinars, conferences, and meetings;
    • Managing the scheduling and logistics related to the WB training sessions, including client and staff travel, training room set-up (AV needs, catering, building access, etc.);
    • Processing monthly expense reports for upper management;
    • Managing the WB calendar of events;
    • Providing general daily support for a team of 25 staff;  
    • Serving as backup for PFM University course sessions.

    Position will involve frequent client contact, some extended hours, and infrequent overnight travel.

    Qualifications

    SKILL AND EXPERIENCE REQUIREMENTS

    Education, Skills, and Experience:

    • College Degree – preferably from a 4-year institution;
    • Experience – similar administrative experience;
    • Microsoft Office – all applications with particular skill at Outlook, Word (50 words per minute minimum) and PowerPoint;
    • Comfort with Internet Search Engines – must be proficient at finding information on the Internet.

    Personal Qualities:

    • Self-starter – must be able to work in an unsupervised environment. Task-oriented focus will not be acceptable;
    • Multi-tasker – must be able to manage multiple roles, tasks, and competing agenda items, all under pressure;
    • Self-Confident – must be able to deal directly with WB/FP customers in a pleasant, forthright, efficient manner; must also be capable of dealing with short public speaking assignments mostly before small groups of customers, such as while managing training sessions;
    • Organized – numerous roles will require excellent organizational skills;
    • Efficient – numerous roles and multiple tasks will require excellent time-management skills;
    • Comfort with Ambiguity – ability to operate in a rapid-moving and fast-changing environment, on projects with myriad or shifting objectives and boundaries.
