PFM’s Harrisburg office, is seeking an Administrator for our Investment Services Group.  This role offers an excellent opportunity to learn the investment management industry among experienced and tenured colleagues, and can provide a challenging and fulfilling long-term career development path for the successful candidate.


The Investment Services Administrator is an integral team member who takes ownership of assigned tasks, possesses strong prioritization and excellent organizational skills, and is able to manage multiple, time-sensitive tasks from various team members.


The ideal candidate would possess experience supporting multiple projects and working under various deadlines. We are seeking individuals with strong editing and formatting skills who enjoy and are proficient at learning new software/systems quickly.




Job responsibilities include but are not limited to:



  • Preparing Presentations, Reports, Proposals and Work Products (Word, Excel, PowerPoint)
  • Assisting managers with expense/time forms if needed
  • Scheduling meetings/arranging reservations/complex travel arrangements
  • Maintain Investment Services department calendar in Outlook
  • General faxing/copying/filing
  • Creating and maintaining department documentation
  • File paper broker confirms
  • Assist with audit/client requests for trade tickets, confirms, etc.
  • Assist with broker requests for W-9’s, FINRA compliance forms, etc.
  • Data entry in Bloomberg as needed
  • Help maintain client settlement instructions in Omgeo ALERT; run data backup weekly
  • Download quarterly corporate earnings reports for credit committee
  • Maintain trader enablements by broker in Bloomberg



Equivalent Education Level Required

  • High school diploma and preferably some college or training after high school

Experience Required

  • 2 years clerical/secretarial experience.  Experience in an investment administrator role is desirable although not required.

Knowledge, Skills and Abilities Required:

  • Typing 50-60 wpm
  • Ability to rapidly, courteously and correctly route phone calls.  Able to take messages accurately and legibly.
  • Basic to moderate proficiency in operating word processing, spread sheets, graphics and databases following defined guidelines.
  • Knowledge of secretarial and general office procedures.
  • Knowledge of alphabetic, numeric and cross-reference filing.
  • Knowledge of standard reference sources and information gathering methods.  Able to research information in response to specific direction.
  • Basic knowledge of written English including spelling, punctuation, grammar usage, proofreading, and organization.
  • Skill in prioritizing and coordinating given assignments.
  • Skill in establishing and maintaining effective working relationships with other staff, clients and the general public.




This position is a non-exempt position eligible for overtime pay.  Compensation includes a competitive base salary, incentive / bonus potential, and a comprehensive benefits package.  PFM also offers participation in a profit sharing and 401K program.
